Privacy Policy

ClientWin OS is a web application for freelancers to run workflows, manage proposals, and use AI-assisted tools. This policy describes what we collect and how the product handles your information today. It is not legal advice.
Account and sign-in
We use Google OAuth for sign-in when it is enabled in your environment. We receive account identifiers such as your email address, display name, and profile image URL to create and maintain your account. Session tokens are used to keep you signed in.
Content you provide
Depending on how you use the product, we store content you enter or generate, including:
- Job briefs, workflow inputs, and proposal drafts or final text
- Client Fit, Pricing Builder, and Proof Matching inputs and results
- Proof Vault items, pricing strategies, and profile or brand settings
- Outcome status, follow-up fields, and optional private debrief notes on proposals
- Help questions and in-app support ticket subjects or messages you submit
Private debrief notes and full proposal text stay in your account. They are not included in Platform Intelligence (see below).
Product analytics and usage
We record privacy-oriented product analytics (for example, which features were used, session activity, and when plan limits are reached). These events help us improve reliability and UX. They are not sold to advertising networks. We do not include full proposal bodies or private notes in these analytics events.
When AI features run, we may also store usage metadata such as feature name, token counts, and estimated provider cost for quota and operations. We do not store prompt or completion text in usage logs.
Billing
Paid subscriptions in India are processed by Razorpay. We receive billing-related metadata needed to manage your plan (for example, subscription status, plan tier, and payment identifiers Razorpay provides). We do not store full payment card numbers in ClientWin OS.
AI processing and model training
ClientWin OS uses third-party AI providers to generate proposal, pricing, fit-check, review, follow-up, and analytics outputs. To provide these features, relevant parts of your workspace data may be sent as prompt context. We do not use your private workspace data to train public AI models. Your saved data may be used inside your own account to personalize your outputs and improve your workflow experience.
When real AI is enabled, selected features send prompts to third-party model providers (for example Anthropic, OpenAI, or Google, depending on configuration). Those providers process data under their own terms and policies. You should review AI-generated text before sending anything to clients or platforms.
Platform Intelligence (optional)
Platform Intelligence is off by default. You must turn it on explicitly in Settings.
- If enabled, we may record limited, anonymized outcome categories (for example service type buckets, platform, plan tier, status, and structured debrief categories).
- We do not store proposal text, client names, job posts, private notes, prompts, completions, or document uploads in Platform Intelligence events.
- Contributions apply only from the time you opt in forward; earlier proposals are not backfilled before your consent time.
- If you opt out, we stop new contributions and delete your existing Platform Intelligence event rows for your account.
- Aggregated benchmarks are for internal product insight and admin reporting. They are not used to train public AI models and are not shown as cross-user comparisons in the UI today.
Share links
You may create a public share link for a proposal. Share links expose only share-safe fields (for example title, send-ready proposal text, and freelancer display name). Anyone with the link can view that content until you revoke the link. Shared pages are marked for search engines not to index them.
Intelligence traces, private notes, billing data, and other account-only fields are not included on public share pages.
Admin and support access
Authorized administrators may access account metadata, plan status, usage limits, support tickets, and operational logs to run the service, investigate abuse, and help with billing or technical issues. Administrators do not use the product to read your private content for marketing purposes.
Data retention
We retain your account data and content while your account remains active so the product can function. Specific retention schedules for backups and deleted accounts are subject to operational policy and will be confirmed before production launch.
You can delete your own account from Settings → Account & privacy (type DELETE to confirm). Private workspace data is removed; minimized billing, security, and audit records may be retained in anonymized form as needed for legal and operational requirements.
