The Proposal Review Checklist Freelancers Should Use Before Sending
A final pre-send review pass: opening, scope, pricing clarity, proof, CTA, risks, length, tone, and a ten-minute checklist before you hit send.
You already know what belongs in a strong proposal. This is the last ten minutes before send: a quality pass for clarity, tone, and buyer anxiety. Think editor, not strategist.
Read once for content, once for skim-ability, once for risk language. Do not rewrite the whole doc unless one section fails badly.
Does the opening reflect their problem?
Read only the first 120 words. Could a stranger tell which client this is for? If you swapped their company name for another and nothing felt wrong, rewrite the opening with a specific constraint from their brief.
Is the scope clear enough to defend?
Check every deliverable has a noun, a format, and an owner. "Support during launch" is not a deliverable. "Two hours of live Zoom support on launch day, client owns rollback" is.
- Inclusions listed per phase or option.
- Exclusions explicit (content writing, paid ads, hosting fees).
- Change process named (email written change order, not verbal DMs).
Is pricing explained, not just shown?
Each price should answer "what am I buying and what happens if scope shifts?" Payment milestones match deliverables. Assumptions sit next to the number, not on page four alone.
Is proof relevant, not decorative?
One strong matched example beats three generic logos. Cut proof that does not share an industry, stack, or constraint with this brief.
Is the CTA specific?
Weak: "Let me know your thoughts." Strong: "Reply yes to Option B and I will send the agreement with a March 4 kickoff hold." Include one calendar link or one binary choice.
Are risks handled out loud?
Name the top two project risks and how you mitigate them (client review SLA, staging environment, backup plan). Buyers trust freelancers who expect friction.
Is the proposal too long?
For most solo deals under $25k, six to ten pages or a tight Notion doc is enough. If you have three case studies and a full agency deck attached, cut attachments unless they asked.
Does it sound human?
Read one paragraph aloud. Remove filler (leverage, synergy, world-class). Break sentences longer than twenty words. Use the client's product name correctly.
- No typos in their company or contact name.
- Consistent verb tense in deliverables.
- Links open and point to the right case study.
Final ten-minute checklist
- PDF or link permissions: client can view without login surprises.
- Option labels match everywhere (no Option 2 in pricing called Package B in scope).
- Dates use their timezone context if relevant.
- Attachment size reasonable for mobile email.
- You saved the version you are sending; filename includes their company slug.
- Follow-up reminder scheduled in your calendar (content of follow-up is separate).
